What it files, and where
Every document lands in one of sixteen folders inside the month it belongs to. The list is fixed in code and the AI is constrained to it, so an unusual document is filed as Other rather than into a folder nobody asked for.
-
Receipts
Shop, restaurant and online receipts, whether you photograph the paper or forward the PDF.
-
Invoices
Bills you have been sent and invoices you have issued, kept where your accountant can reach them.
-
Bank
Statements, transfer confirmations and anything else your bank emails you as a PDF.
-
Tax
Assessments, filings and the year's worth of paper you only ever need all at once.
-
Insurance
Policies, renewal notices and claim correspondence, filed the day they arrive.
-
Medical
Prescriptions, test results and clinic invoices, in your Drive and nobody else's.
-
Legal
Letters from solicitors, court documents and anything you may need to produce later.
-
Contracts
Signed agreements, statements of work and terms you agreed to and will want to reread.
-
Identity
Passports, licences and residency papers — the documents you always need a copy of.
-
Utilities
Electricity, water, internet and phone bills, which is most of what arrives by PDF.
-
Payslips
Monthly payslips, so proving income takes a search rather than an afternoon.
-
Warranty
Warranty cards and proof of purchase, still findable when the thing finally breaks.
-
Travel
Boarding passes, hotel confirmations and visas, gathered before the trip rather than after.
-
Education
Certificates, transcripts and course invoices worth keeping past the term.
-
Vehicle
Registration, servicing records and insurance for anything you drive.
-
Other
Anything that fits nowhere else, plus anything the bot was not confident about.
Why a fixed list
An open-ended category is an invitation for a document to invent its own folder — and for anything hidden inside a document to invent one on your behalf.
- The model can only answer with one of these sixteen. There is no free-text folder name to exploit.
- Filenames are rebuilt from scratch rather than trusted: lowercased, stripped of anything but letters, numbers, dots and dashes, and capped in length.
- A document that tries to give the AI instructions is spotted by a separate check and filed as Other, with its suggested name discarded.
Questions
How are the folders organised?
Your root folder, then a month folder, then the category: for example Documents/03-2026/Receipts. The month comes from the date printed on the document, not the day you sent it, so a receipt from last year files under last year.
What if it files something in the wrong category?
Send 'move Travel' and it is refiled — in your Drive, not just in the record. The categories are a fixed list of sixteen, so a document can only ever land somewhere sensible. You can also move files yourself in Drive; nothing breaks if you reorganise.
Send one and watch where it lands
The reply tells you the folder before you ever open Drive.
