How it works

The short version: you connect Google Drive once, and then you send documents to a WhatsApp number for as long as you find it useful. Here is what happens in between.

Setting up

  1. Say hello on WhatsApp

    Message the bot and it sends you one setup link. Pick a plan, name the folder you want documents in, and connect Google Drive. Two minutes, on your phone, once.

  2. Send a document

    A photo of a paper receipt, a forwarded PDF invoice, a bank statement. It reads the file itself — there is nothing to type and no form to fill in.

  3. Find it already filed

    It lands in your Drive under the month printed on the document and the category it belongs to, with a sensible filename. The reply carries a link straight to it.

What happens to a document you send

Between your message and the reply, four things happen — and each one is deliberately boring.

  1. It is checked before anything else

    Only PDFs and PNG, JPEG, WebP or HEIC images, up to 15 MB. Anything else is refused before a single AI call is spent on it.

  2. It is read as a document, not as text

    The file goes to the AI as an image or PDF. That is why a phone photo of a faded till receipt works — there is no text-extraction step to fail first.

  3. The details come off the page

    Category, vendor, total, currency and the date printed on the document. The category is constrained to a fixed list of sixteen, so nothing invented can become a folder.

  4. It is written to your Drive

    Into Your folder / MM-YYYY / Category, with a clean filename. The reply tells you where it went and links straight to it.

What the folders look like

Grouped by month, then by category. Months are the finest useful grain — a year aggregates up from months, but a year cannot be split back into them.

The month comes from the document, not the upload. A receipt from November photographed in March files under November.

When it is not sure

A misread number that is silently filed is worse than one that admits it.

Filing is never blocked on a number it could not read. The document is in your Drive either way; only the ledger entry waits for you.

Questions

How are the folders organised?

Your root folder, then a month folder, then the category: for example Documents/03-2026/Receipts. The month comes from the date printed on the document, not the day you sent it, so a receipt from last year files under last year.

What can it read?

PDFs and photos — PNG, JPEG, WebP and HEIC — up to 15 MB. A phone photo of a paper receipt works as well as a PDF invoice; the AI reads the image itself rather than relying on text extraction.

Does it understand what is on the receipt?

Yes. It pulls out the vendor, the total, the currency and the document date, and files by that date. That is what makes 'report march' possible later, and it is why sending the same receipt twice is recognised as a duplicate rather than filed again.

Can I ask what I spent?

Send 'report' for this month, or 'report last month', 'report march', 'report q1 2026', 'report 2026'. Send 'export' for the same period as a CSV saved to your Drive.

What if it gets a total wrong?

Send 'review' to see the documents it could not read fully, then 'fix 182.50' to set the total on the last one you sent. The file in Drive is renamed to match. Filing is never blocked on a number it could not read — the document still lands in your Drive either way.

Can I correct anything else it got wrong?

Send 'vendor Shell' to correct the vendor, or 'date 14 mar' to correct the date — which moves the document into the right month folder. Send 'undo' to remove the last document altogether; it goes to your Drive bin, so nothing is lost. Each of these applies to the last document you sent.

How do I find something I filed months ago?

Send 'find shell' and you get every document from that vendor, newest first, each with a link straight to it in Drive. It searches the vendor, the category and the filename across everything you have filed. Add a month to narrow it: 'find shell march'.

How do I change where documents are filed?

Send 'folder: Receipts 2026' and everything from then on goes there. Send 'link' any time to open the current folder in Drive, or 'link march' for one month.
