Support
Most things are one WhatsApp message. If what you need is not here, email docket@baansoftware.com and a person will read it.

When something goes wrong
A document was filed in the wrong category
Move it in Drive. It is your folder structure and nothing here depends on it staying as the bot left it.
The total is wrong or missing
Send review to see what could not be read, then fix 182.50 to set the total on the
most recent one. The document itself is already filed either way.
It says my file type is not supported
PDFs and PNG, JPEG, WebP and HEIC images, up to 15 MB. A screenshot of a PDF works; a Word document or a ZIP does not.
It says my subscription is not active
Open the billing portal from your payment receipt to update the card or restart the plan. Documents already filed stay in your Drive regardless.
I want to connect a different Google account
Send logout, then message the bot again and it will offer a fresh setup link. Files already in
the old Drive stay there.
Questions
Where do my documents actually go?
Into your own Google Drive, in a folder you name. Nothing is stored on our servers — the file is read in memory, uploaded to your Drive, and dropped. You can revoke access at any time and keep every document.
How are the folders organised?
Your root folder, then a month folder, then the category: for example Documents/03-2026/Receipts. The month comes from the date printed on the document, not the day you sent it, so a receipt from last year files under last year.
What can it read?
PDFs and photos — PNG, JPEG, WebP and HEIC — up to 15 MB. A phone photo of a paper receipt works as well as a PDF invoice; the AI reads the image itself rather than relying on text extraction.
What if it gets a total wrong?
Send 'review' to see the documents it could not read fully, then 'fix 182.50' to set the total on the last one you sent. The file in Drive is renamed to match. Filing is never blocked on a number it could not read — the document still lands in your Drive either way.
What if it files something in the wrong category?
Send 'move Travel' and it is refiled — in your Drive, not just in the record. The categories are a fixed list of sixteen, so a document can only ever land somewhere sensible. You can also move files yourself in Drive; nothing breaks if you reorganise.
Can I correct anything else it got wrong?
Send 'vendor Shell' to correct the vendor, or 'date 14 mar' to correct the date — which moves the document into the right month folder. Send 'undo' to remove the last document altogether; it goes to your Drive bin, so nothing is lost. Each of these applies to the last document you sent.
How do I find something I filed months ago?
Send 'find shell' and you get every document from that vendor, newest first, each with a link straight to it in Drive. It searches the vendor, the category and the filename across everything you have filed. Add a month to narrow it: 'find shell march'.
How do I change where documents are filed?
Send 'folder: Receipts 2026' and everything from then on goes there. Send 'link' any time to open the current folder in Drive, or 'link march' for one month.
Do I need to install anything?
No. It is a WhatsApp contact. There is no app to download, no account to create and no password — you connect Google Drive once from your phone and then you are just sending WhatsApp messages.
What access does it have to my Google Drive?
Enough to create your folders and write files into them. It does not read your existing Drive contents. You can disconnect at any time by sending 'logout', or from your Google account's security settings.
Are my documents used to train AI models?
No. Documents are sent to Google's Gemini API only to be read and categorised, and are not retained by us afterwards.
What happens if I hit my monthly limit?
The bot tells you, and filing pauses until the month rolls over or you move up a plan. The limits are ceilings against abuse rather than meters — most people file ten to twenty documents a month and never see one.
Can I cancel?
Any time, from the billing portal link on your receipt. Your documents are already in your own Google Drive, so cancelling costs you nothing but the bot.
Does this do my tax return?
No. Docket is not tax software and does not file anything with HMRC. What it does is capture the digital record HMRC wants — the date, amount and category of each transaction — at the moment the receipt exists, and put the document in your own Drive. Then `export` hands the period over as a CSV for whoever files the return.
Will my accountant accept this?
It is the format they already ask for: dated folders of the original documents, plus a CSV with the date, vendor, total, currency and category of each one. Send `link march` for a single month's folder, or `export` for the spreadsheet. The files live in your Drive, so you can share a folder rather than email an attachment.
Do I have to keep the paper?
HMRC's digital record requirement is about the transaction data, not the scan — it accepts images but does not demand them. Keeping the photograph is still the easiest way to prove a figure years later, which is why Docket files the document itself rather than only the numbers off it. Whether you also keep the paper is between you and your accountant.
Still stuck
Email docket@baansoftware.com. Include the phone number you message the bot from and roughly when the problem happened — that is usually enough to find it.
