The reason document filing fails in a small team is never the filing. It is the eleven people who were asked to adopt a tool and did not.
Adoption is the whole battle
A system only used by the person who chose it is a system that does not exist.
- Every new tool means accounts to create, seats to pay for, and someone chasing people to use it.
- Staff will photograph a receipt. They will not open a portal, log in and fill in a form.
- Documents that never make it into the system are worse than no system, because you believe you have one.

Questions
Where do my documents actually go?
Into your own Google Drive, in a folder you name. Nothing is stored on our servers — the file is read in memory, uploaded to your Drive, and dropped. You can revoke access at any time and keep every document.
Can I ask what I spent?
Send 'report' for this month, or 'report last month', 'report march', 'report q1 2026', 'report 2026'. Send 'export' for the same period as a CSV saved to your Drive.
How do I find something I filed months ago?
Send 'find shell' and you get every document from that vendor, newest first, each with a link straight to it in Drive. It searches the vendor, the category and the filename across everything you have filed. Add a month to narrow it: 'find shell march'.
What access does it have to my Google Drive?
Enough to create your folders and write files into them. It does not read your existing Drive contents. You can disconnect at any time by sending 'logout', or from your Google account's security settings.
Are my documents used to train AI models?
No. Documents are sent to Google's Gemini API only to be read and categorised, and are not retained by us afterwards.
